Everything runs locally. No file, no field, no client name is ever uploaded.

How it works

  1. Describe the work. Add line items, quantities and rates. The total updates as you type.
  2. Set the validity. Tell the client how long the price stands — 30 days is typical for services.
  3. Send it, then invoice it. Download the PDF. When the quote is approved, click “Convert to invoice” and the line items carry over.

What a quote should include

  • Your business name, address and contact details
  • The client's name and the person you are writing to
  • A quote number and the date it was issued
  • A clear description of the scope — what is included and what is not
  • Line items with quantities and rates, and the total
  • How long the quote is valid and what happens next
  • Deposit or payment terms, if any

Quote vs estimate

A quote is usually a fixed price you commit to for a defined scope. An estimate is a best guess that can move as the work is scoped. Many freelancers and small contractors use the terms interchangeably on the document itself — what matters is that the scope and the validity window are written down.

Quote → invoice in one click

Once the client approves, you do not need to retype anything. Click Convert to invoice and BillCanvas opens a new invoice with the same business details, client and line items, a fresh invoice number and Net 30 terms. The original quote number is kept as a reference on the invoice.

FAQ

What is the difference between a quote and an estimate?

A quote is usually a fixed price for a defined scope; an estimate is a best guess that can change. Many small businesses use the words interchangeably on the document itself.

Can I turn a quote into an invoice?

Yes. Click “Convert to invoice” after the client approves. The business details, client and line items carry over to a new invoice.

How long should a quote be valid?

30 days is common for services. Shorter windows protect you from price changes; longer windows are friendlier to slow-moving clients.

Is my data uploaded?

No. The form, the calculations and the PDF all run in your browser.
